Privacy Notice and Cookie Notice

Short version: we use your details to reply to you about building work, and for nothing else. We do not sell them, we do not add you to a mailing list, and this website does not follow you around the internet.

The rest of this page is the long version, because that is what a privacy notice is for.

Last updated: August 2026.

Who is responsible for your information

Swanbourne Construction Ltd is the data controller.

Company No. 16870716, registered in England and Wales. Unit 27, Middleton Business Park, Yapton Road, Middleton-on-Sea, Bognor Regis, West Sussex PO22 6HS.

Email swanbourneconstruction@gmail.com or call 07470 078236 and ask for James.

What the enquiry form collects, and why

The form on our contact page asks for six things. Five are required and one is not.

What we ask for Why we ask
Name So we know who we are speaking to when we ring back.
Phone number Because a call is faster than an email chain, and most enquiries are settled in one conversation.
Postcode It tells us whether you are inside the area we cover and which council would handle the planning and building control, before we ring.
Project type So James can read up on the specifics rather than starting cold.
Message It is your description of the job. Whatever you put in it is what we work from.
How did you hear about us? — optional It tells us which of our efforts are working. You can leave it blank and it makes no difference to your enquiry.

If you email, WhatsApp or telephone us instead, we hold whatever you send us — including any photographs, drawings or documents.

What we do with it

We use it to reply to your enquiry, to arrange and carry out a site visit, to prepare a quotation, and — if you go ahead — to run the job.

That is the whole list. Specifically, we do not:

  • sell, rent or trade your details to anybody;
  • add you to a marketing list without asking;
  • pass your details to lead-generation sites or comparison services;
  • use your information to profile you or make automated decisions about you.

If you tell us no thanks, that is the end of it. You will not hear from us again.

The lawful basis

Under the UK GDPR we rely on:

  • Article 6(1)(b) — steps taken at your request before entering into a contract, and performance of that contract once there is one. This covers replying to your enquiry, visiting, quoting and carrying out the work.
  • Article 6(1)(f) — legitimate interests, for the narrow purposes of keeping a record of enquiries, understanding which marketing brings work in, and protecting the business against fraud or misuse of the form. Our interest here is running a small building business competently; we have weighed it against your privacy and it does not override your rights. You can object, and we will stop unless there is a compelling reason not to.
  • Legal obligation, where we have to keep records — accounting, VAT, health and safety and construction records among them.

We do not ask for special category data. Please do not send us any.

How long we keep it

  • Enquiries that do not become jobs: kept for 24 months, then deleted. People come back a year later with the same project and it is useful to have the history.
  • Clients: contract, quotation, correspondence and job records kept for six years after completion. That matches the period in which a claim on a simple contract could be brought, and it means we can answer a question about your house years later.
  • Health and safety and Building Control records: kept for as long as they are needed for the building, which can be longer than six years.
  • Accounting records: kept as long as HMRC requires.

Who else sees it

Nobody has your details for their own purposes. Some suppliers process them on our behalf, under contract and on our instructions only — the company that hosts this website, the service that delivers the enquiry form, and our email provider.

On a live job, and only where the work needs it, we may pass relevant details — usually your name, address and access arrangements — to:

  • subcontracted trades working on your property;
  • a structural engineer, architect or party wall surveyor involved in your project;
  • Building Control at the relevant council, and the planning authority where an application is made;
  • suppliers arranging a delivery to your address;
  • our insurers and, if it ever came to it, our accountant or solicitor.

We do not transfer your information outside the UK for our own purposes. Some of the suppliers above may store data outside the UK; where they do, appropriate safeguards apply.

Cookies

This website sets no analytics, advertising or tracking cookies as standard. There is no Google Analytics on it, no advertising pixel, and nothing recording what you look at.

What there may be is a small number of strictly necessary cookies — the sort that stop the enquiry form being abused, or remember a cookie choice you have already made. Strictly necessary cookies do not need your consent, and they do not identify you.

An honest note about the future. Google Analytics may be added to this site later, and the business may run Google Ads. If either happens, analytics and advertising cookies need your consent under the Privacy and Electronic Communications Regulations — so a consent banner will appear, you will be able to say no, and this page will be updated on the same day with exactly what is being set and by whom. It will not be done quietly.

You can block or delete cookies in your browser settings. Blocking strictly necessary cookies may stop the enquiry form working.

Your rights

You can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong;
  • delete it, where we do not need it for a contract or a legal duty;
  • restrict or object to how we use it, including anything relying on legitimate interests;
  • provide it in a portable format, where that applies.

Ask by email, by post or over the phone. We will not charge you and we will respond within one month. We may need to check who you are first.

If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office — ico.org.uk, or 0303 123 1113. We would rather you came to us first so we can put it right.

Data breaches

If something went wrong and your information was exposed in a way likely to cause you harm, we would tell you, and we would report it to the ICO within 72 hours where the law requires it.

Changes to this notice

If we change how we handle your information, this page changes and the date at the top changes with it.
